Leasing & Marketing Coordinator

Summary of Position
Linear Retail is seeking a Leasing & Marketing Coordinator to support the Leasing and Marketing Departments with daily activities around lead sourcing, specialty leasing projects, CRM management and reporting. The Coordinator will report to the SVP of Leasing and the Marketing Manager.
Linear Retail is a prominent owner, operator and developer of shopping centers and retail properties in New England. The Leasing and Marketing Departments support many company endeavors, focusing on the leasing of its availabilities. Linear works with over 300 diverse tenants across its 95+ property portfolio consisting of urban retail condos, community centers and convenience-oriented centers. It has also been recognized as an industry leader in digital marketing and the use of social media. The company strives to remain at the forefront with many new initiatives. The Leasing & Marketing Coordinator will provide varied support and gain valuable experience in a collaborative, forward-thinking environment.
Role and Responsibilities:


  • Cold calling with a targeted prospects list
  • Screening of all incoming calls (direct calls, listing service calls, sign calls, etc..)
  • Preparing and mailing property packages to prospective tenants
  • Managing property listing service emails, responding to prospects, entering active/qualified prospects into CRM
  • Working within the CRM system including Updating the database, creating new contacts, tracking lead progression, creating and distributing weekly reports
  • Receiving and responding to webchat inquiries and SMS leads
  • Coordinating a tenant progress sheet with the Marketing Manager to follow tenants through various stages from referral to signing of their lease to opening events
  • Coordinating with various town’s Chamber of Commerce divisions and other public groups to increase the prospect list
  • Creating and maintaining LOI (Letter of Intent) Templates
  • Coordinating tenants’ opening upon lease execution – to include the following: Ensuring tenants provide necessary documents and meets deadlines; coordinating communication between the Construction Department, Property Management and Asset Management teams; scheduling PR and marketing promo shoots
  • Working with leasing and marketing on special leasing projects and mapping


  • Generating targeted lists of retailers for marketing/leasing campaigns
  • Pulling targeted lists from the CRM
  • Coordinating email blast edits and pulling stats
  • Assisting with direct mail campaigns
  • Keeping company collateral up to date
  • Assisting with reporting on all lead generating methods
  • Updating property face sheets
  • Assisting with signage efforts across coordinating with signage vendors and owning the signage inventory
  • Coordinating with the Marketing Manager in making website updates to property pages
  • Assisting with tradeshow needs including packaging material and managing tradeshow booths in various locations
  • Assisting with coordination and logistics around special events
  • Assist with social media as needed

Skills and Requirements:

  • Bachelor’s Degree in Business Administration, Communication or equivalent
  • The ideal candidate will have internships to three years of experience
  • A general understanding of contract language and real estate leasing operations
  • Social media savvy
  • A quick learner with a tremendous drive that likes to keep busy, can juggle multiple projects at once, can meet deadlines and isn’t afraid to pick up the phone
  • Salesforce, InDesign, Constant Contact, WordPress knowledge a plus
